Organising an event is one of goMICE’s specialties. For instance, we received the fantastic assignment to organise an event on Friday 17 March. For months, we worked to shape the annual gala of one of our regular clients and truly go all out! In this blog, you can read how we achieved that: Organising an event in the Fabrique.
Organising an event in the Fabrique
The assignment was to link a location and a theme to the gala. We at goMICE chose the TV commercial of our client as the basic principle. After a brainstorming session, we came up with: “Boarding pass to the future”. This theme was well-liked by our client!

The event in the Fabrique in Utrecht
On 17 March, all the efforts of months of work came together. We had left nothing to chance. Together with 2 goMICE colleagues, we left to go to the location in Utrecht early in the day. With our roadmap as our ‘best friend’, we were on site at 12:15 PM. The first guests would arrive at 16:30 hrs, so there was work to be done! The event would take place in the Fabrique in Utrecht.
We started going through the roadmap together with the floor manager of the Fabrique. A great location to organise an event! At 13:00 hrs, the contacts of our client joined and we were able to go over a few things with the technology people.
Organising an event in the Fabrique
For this event, we were using four large areas:
- one room for the wardrobe and registration;
- one room for the reception and a bite/drink;
- one room for the plenary official part and the award show;
- one room for a spectacular party
This meant we would be covering a lot of distance that evening to guide and manage everything. When organising an event, we always work with various suppliers. The first to be present were the Make-up Artists from Make-up Your Event: Joyce van Dam and her colleague. They would provide a make-up stand this evening where ladies and gentlemen could get a futuristic make-up look. We saw beautiful eyes, lips and eyebrows all around. And later in the evening, even several men paid these ladies a visit!
From the ‘old days’ to the ‘new era’
In the main hall, we would create an effect by travelling from the ‘old days’ to the ‘new era’. Voice artist Niek Boes would guide this journey.
The final preparations for the event
We have been working with the same photographer and videographer for a long time, so after a good briefing, they knew everything they had to capture everything on camera perfectly. The “Magic Mirror” supplier also arrived. A mirror that talks to you and takes pictures fits perfectly within the theme. And indeed, it was a great hit!
In the party area, our regular supplier C.A.S technique had gone all out when it comes to light, sound, and most of all, the special effects. They had also created a special DJ booth specifically for this evening, where our favourite DJ Ferre Santos could play later. Niek Boes’ (voice artist) technicians had also arrived now, and Niek soon followed. What an artist. It is impossible to explain what he does; you simply must experience his show yourself.
While I was doing all the checks, my 2 colleagues were filling up all 350 goody bags with the LED wristbands and laying them out.
All ready for the event
Around 16:00 PM, we were ready, and at 16:15 PM, the first guests arrived by shuttle from the hotel. We were all set! We received the guests with snacks, served in a playful way, matching the theme. At 17:30 PM. the official part could begin. Presentations and videos were followed by a sparkling award show. The lucky winners could receive the awards while Niek Boes supported the award show in his own way.
At the end of the award show, it was time to reveal the destination. In May, for the sixth year in a row, we are going on a four-day trip with this client. Two groups of 55 people will be coming along as a reward for their performance in 2016. We had our regular supplies create a spectacular video with beautiful images of the city of Seville. A loud applause ensued when the unveiling of the destination showed up on the screen.
Dining and Niek Boes’ show
After this, the guests could have dinner, which was rolled into the hall on mobile scaffolds.
The fries and ice cream were served on belly trays, and people were visibly enjoying it!
Niek Boes’ show followed. He is can entertain the entire crowd from start to finish, and sometimes it is hard to believe what he does with his voice.
Then it was time to transform people to the ‘new age’. Niek ended his show and took all he guests through a thicket of smoke, and test tubes were handed out by the hired hostesses in beautiful futuristic costumes on the way. Ferre Santos has already started playing and the party was about to begin in the beautiful hall of the Fabrique. The entire hall went wild!
Ferre Santos can make aplace like this come to life, and you cannot help but dance, whether you want to or not. Some hang back a bit longer and visit the laboratory bar, but eventually, even they had to go onto the dance floor.
Officially, the party would end at 23.00 PM. Around 22.45 PM, I talked to our client. What I had already suspected, happened. They really wanted to continue until 00.00 AM. So we immediately contacted the floor manager, Ferre Santos, the security and the driver of the shuttle. Everything was taken care of, and we were all set to party for another hour!
The end of an amazing event
And so, at 00.00 AM, everyone left this spectacular evening. We handed out the last goody bags and took a minute to catch our breath when the final guest had left. Once again, we could look back on a fantastic and successful event. We had already received many enthusiastic reactions and compliments during the evening. It always catches me off guard when I also receive lots of thanks and compliments via WhatsApp on the way home. That makes me so happy every time! Happy that we get to do great things like this, happy to be able to make people this happy, and happy that we succeeded once again!
Another message came in on Saturday morning: What a gala, what a party, what an organisation…! goMICE, once again, thank you so much for everything you have done. We don’t go without you! ?
